2. Types of Personal Information Collected & Purposes
We collect personal information for stated purposes only, including to provide and improve the Service, fulfill requests, and comply with legal obligations.
Types of personal information we may collect include:
Name, address, telephone number, email address, and product/service intentions
Interaction data from our website or portal (e.g., IP addresses, internet service provider, browser type, language, access times, referring website)
Precise geo-location data collected via mobile devices during use (e.g., for real-time GPS tracking, dispatch, geofencing alerts, and interactive mapping)
Phone numbers and SMS-related data for one-time password (OTP) authentication
User-generated content such as photos, notes, property maps, Pins, Service Areas, Child Maps, employee records, or other field data that may incidentally include personal information
We use this information to:
Process requests, deliver high-quality service, and understand user needs (e.g., software updates via email, real-time dispatch and tracking features)
Compile anonymized or aggregated statistics (e.g., total users, functions used, geo-location aggregates, site behavior) to improve products, services, and AI-driven insights
Confirm identity and provide secure access (e.g., OTP delivery)
Comply with legal and regulatory requirements
When personal information is to be used for a new purpose not previously identified, we will disclose the purpose and seek consent unless authorized or required by law.
3. Consent
You have the choice whether to provide personal information. By providing it, you consent to our use for the stated purposes. In some areas of the Service or website, we may ask for specific consent (e.g., for marketing communications), and we will honor your preferences.
You may withdraw or change consent at any time (subject to legal restrictions), request deletion, or opt out of certain uses (see Contact Us below). Withdrawing consent may limit Service functionality (e.g., disabling location services affects dispatch/geofencing).
Account Holder Responsibility for Employee/Contractor Data
Where the Service involves monitoring or tracking individuals (e.g., field crew GPS/location during work hours, SMS OTP delivery), you (the account holder) are responsible for obtaining necessary consents from employees, contractors, or others, and for compliance with applicable labor, privacy, and telecommunications laws.
4. Limits on Collection
We collect only information that is reasonable and necessary for the purposes above.
5. Limits on Using, Disclosing, and Retaining Personal Information
We use and disclose personal information only for the purposes described, as authorized by law, or with your consent.
We retain personal information used to make decisions affecting you for at least one year (or longer if required by law). Location/tracking data from active sessions is retained as needed for service delivery, then anonymized or deleted when no longer required.
We destroy, erase, or anonymize records containing personal information once the original purpose is served and retention is no longer necessary for legal/business reasons, using reasonable safeguards against unauthorized access.
Third-Party Services
The Service integrates with third-party providers (e.g., SMS carriers for OTP delivery, app stores for distribution, mapping data sources, payment processors). We do not control these third parties and are not responsible for their privacy practices. Use of integrated features is subject to their separate terms and policies.
We may share personal information with service providers under confidentiality agreements to support Service delivery (e.g., hosting, analytics), but only as necessary.
6. Accuracy
We make reasonable efforts to ensure personal information is accurate and complete, relying in part on you to keep details (e.g., contact info) current. If you identify inaccuracies, we will amend as appropriate and notify relevant third parties where required.
7. Safeguards
We implement reasonable security arrangements to protect personal information against unauthorized access, use, disclosure, or loss.
We require comparable safeguards from service providers via contracts or other means.
8. Compliance with Privacy Laws
We process personal information in compliance with applicable privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) in Canada and, where relevant, the General Data Protection Regulation (GDPR) in the European Union. Our Data Protection Officer (or equivalent privacy contact) can be reached at support@crewvision.io for inquiries related to data protection, access requests, or compliance.
9. Providing Access
Upon written request and identity verification, we will provide access to your personal information, details on its use, and recipients (within 30 days or with notice of extension). Access may be limited in certain cases (e.g., solicitor-client privilege, third-party personal info, competitive harm, legal restrictions). We will explain any refusal in writing and outline next steps.
10. Employee Provisions
CrewVision employees and team members must protect confidentiality of client and employee information (e.g., personnel files, contracts, product data). Violations may result in discipline, up to termination. Upon separation, employees must return all confidential materials.
In the event of a privacy breach, we will notify affected individuals promptly as required by law.
