The Invoice Detail View opens in a modal window whenever you click an Invoice # from the Invoices List View. It gives you full access to every detail of a single invoice, including the ability to edit it (while it remains unsent) and review its complete history.
Invoices in CrewVision are generated from three places:
The Contracts Manager
One-time jobs created on a Dispatch Board
Manually created custom invoices
Until an invoice has been sent, it is fully editable.
Accessing the Invoice Detail View
From the Invoices List View, click any Invoice #. The invoice opens in a modal window over the list.
Interface Overview
The modal has two tabs: Details and Audit Trail.
Details Tab
This is the main working view of the invoice. It contains:
Header information
Invoice number and current status (Paid, Pending, etc.)
Property
Customer
Invoice Date
Terms
Contact
Line Items Line items can be added as Job, Product, or Fee. Each line supports a custom title, rate, tax rate, and date. You can switch between Flat Rate and Hourly pricing. Line items can be added, edited, or removed while the invoice remains editable.
Invoice Message A free-text area for notes or messages that appear on the invoice (default text is “Thank you for your business”).
Purchase Order (PO) # Optional field for a customer purchase order number.
Totals Running calculation of Subtotal, Tax (with the applied tax rate and ID), Total, and Remaining Balance.
Audit Trail Tab
This tab shows a chronological list of every action taken on the invoice. Each entry includes:
Date and time
Description of the action (for example: Invoice Emailed, Email Opened, Payment Applied, Charge Succeeded, Invoice Printed)
The user who performed the action
Customer-Facing Invoice
When an invoice is emailed or printed, CrewVision generates a clean HTML version of the invoice. This same HTML is used for the email body and is also rendered as a PDF.
The customer-facing invoice includes:
Your company name, address, and logo
Invoice number, date, and status badge
Customer billing information
Line item table (Date, Description, Qty, Price, Total)
Terms and tax details
Payments & Credits applied
Invoice Total and Balance Due
Optional invoice message
Payment stub with remittance address
Additional Functions
From the top right of the modal you can:
Email the invoice
Print the invoice
Edit the invoice (available while the invoice has not yet been sent)
Navigation arrows in the top right let you move between invoices without returning to the list. A counter shows your current position (for example 271 / 3861).
Working with the Invoice Detail View
Use the Details tab to review or update invoice content. Use the Audit Trail tab to see exactly what has happened with the invoice — when it was emailed, whether the customer opened it, when payments were applied, and who performed each action.
The Invoice Detail View is designed for focused work on a single invoice while keeping the full list available underneath.
